Safeguarding & Participant Safety Measures
SheUltra has been designed to provide a safe, supportive and respectful environment for women taking part. Our safeguarding measures include:
– Female-only participant registration – SheUltra is a women-only participation event.
– Incognito Entry – Women who require additional privacy can enter Incognito. Their name will not appear on publicly available registration/start lists or published results, and they will not be included in professional event photography.
– Participant confidentiality – Event staff and volunteers must never confirm to an outside person whether a named participant is registered, has arrived, is taking part, has reached a checkpoint or has finished.
– Location confidentiality – A participant’s location or progress will not be disclosed to someone claiming to be a partner, spouse, family member, friend or other third party.
– Photography safeguards – Professional photographers are briefed on the Incognito system and provided with a clear process for ensuring those participants are not photographed or published.
– Predominantly female event team – Participant-facing roles are predominantly staffed by women. A small percentage of male operational staff may be present where required for security, welfare, medical, technical or event-safety purposes.
– Female safeguarding and welfare leads – Clearly identified senior female team members are available to participants and volunteers.
– Police liaison – Local police are informed about the event and relevant event safety and safeguarding arrangements.
– Domestic abuse support at registration – Specialist domestic-abuse information/support is available at event registration, providing women with an opportunity to access information or support discreetly.
– Private welfare provision – A confidential space is available where a participant can speak privately with the welfare/safeguarding team.
– Women-focused welfare facilities – Including appropriate private welfare areas, breastfeeding provision and sanitary products.
– Safeguarding reporting and escalation procedure – Staff and volunteers are briefed on how to recognise, report and escalate safeguarding concerns.
– Safe withdrawal procedure – Participants who withdraw from the event can be brought to an appropriate event location rather than being left unsupported at a checkpoint.
– Event transport safeguards – Authorised event vehicles and drivers are identifiable, with procedures for managing participant collections and withdrawals.
– Checkpoint accountability – Participant progress through checkpoints is recorded as part of the event’s safety and accountability procedures.
– Tracking and missing-person procedure – Participant tracking is integrated into the wider event safety and emergency response plan, with a defined escalation process where there is concern for a participant’s welfare.
– Volunteer and staff code of conduct – Expectations cover appropriate behaviour, harassment, physical contact, photography, confidentiality and the handling of participant information.
– Emergency contact confidentiality – Emergency-contact information is used only where required for participant welfare, safeguarding or an emergency.
– Finish-area safeguarding – Procedures are in place to support a participant who feels unsafe, believes they are being followed or does not feel safe leaving the event.
– Post-event confidentiality – Safeguarding continues after the event. Information or imagery that could compromise the privacy of an Incognito participant will not knowingly be published.
Our Safeguarding Principle:
SheUltra will never confirm to a third party whether a particular woman is participating in the event or disclose her location, progress or finish status.
The purpose of these measures is not simply to provide a safe event environment, but to ensure that women who may have additional privacy or safeguarding concerns are able to participate with dignity, confidence and appropriate
protection.
